The Department regulates investment industry firms and professionals, and also regulates capital formation involving the offer and sale of securities. We are seeking an Executive Assistant with strong communication and interpersonal skills, effective problem-solving skills, proven organizational skills, and an excellent work ethic to join our high-performing and dedicated Securities team.As the Executive Assistant, you will provide administrative support to the Securities Commissioner, Corporate Finance/Fiscal Manager, and the Department, while managing the daily business operations of the Department. This integral role ensures the Securities team are provided with the resources necessary to effectively accomplish the department mission.To succeed in this position, you will be highly organized, responsive, and effective in communicating with a variety of audiences and stakeholders, employ sound judgment and decision-making skills, and maintain a high level of confidentiality and professionalism.Hiring Salary: $4,500 - $5,200/month; dependent on experienceLocation: This role is based onsite at our office location in Bismarck, ND. :Provide a high-level of administrative support to the Securities Commissioner, Corporate Financial/Fiscal Manager, and the Department.Serve as initial point of contact between the Department, public, and state agency staff; manage all incoming calls and email inquiries for the Department, and relay information and requests to staff. Manage department cell phones, calendars, printers/ copiers, IT equipment, office furniture, mail, office supplies, and serve as the Records Retention and Emergency Disaster Coordinator. Coordinate, produce, and disseminate documents including budget documents, financial documents, agency reports, manuals, spreadsheets, forms, meeting agendas/minutes, and department policy updates and changes.Provide fiscal support including performing accounts receivable and account payable duties. Minimum Qualifications:Associate degree in business or a closely related field and three years of professional work experience in an administrative assistant role or a combination of education and administrative assistant work experience that demonstrates equivalent knowledge, skills, and abilities.High level of proficiency with Adobe products, Microsoft Word, Outlook, and Excel.Preferred Qualifications:Excellent verbal and written communication skills with the ability to present information in an articulate, professional, and confident manner.Strong proofreading skills with a high level of attention to detail and accuracy. Forward-thinking, problem-solving, decision-making, and multitasking abilities.Dependable, organized, self-motivated, resourceful, and flexible.
